Federal Work-Study On-Campus Indices and Program Codes

The Federal Work-Study Program and UO Work-Study Program matching indices must correspond to the program code on the department index.  Departments will need to select the appropriate work-study matching index from the charts below:

Note: Instead of RWS and Shift 2, you may enter RW1 (with Shift 1 defaulting) for the second earn code/shift combination.

July 2023 Time Entry - Crosses Fiscal Year 

Federal work-study year-end reporting must be able to distinguish between June and July payroll expense. This means that June hours and July hours are entered separately in PHAHOUR during July time entry each year.  In addition, departments must use the indices for the new fiscal year and the prior fiscal year.  Use Shift 1 for July hours and Shift 2 for June hours.

Note: For off-campus employers  the "departmental" or "organization" index is the contract number.  The matching federal portion varies from 50% to 75%.  Some jobs are funded fully by the federal work-study grant.
